Therap App for Leonard Consulting for EVV Verification

Congress passed the "21st Century Cures Act" which requires Electronic Visit Verification (EVV).  This is to cut down on Medicaid Fraud.  Jan 1, 2020 is the deadline to have this in place.

Leonard Consulting has chosen to use the Therap App for their EVV.

Leonard Consulting has chosen the simplest was to fulfill this requirement.  We will still be doing paper timesheets and the hours and paychecks will still be based on the paper timesheets.  But in addition, the employee will need to download the app and clock in and clock out.  The app will geotag their location and give a timestamp.  They will use the app both when they clock in and when they clock out.  Employers won't even have a log in.  No one needs to take any pictures like we feared.  Employers will not need to put in any type of password or pin into the app when employees clock in or clock out.  Yes it is a waste of time.  But it will only take a minute.  It will be OK.  We are used to jumping through hoops, AM I RIGHT?!?!?!?!  hahahaha

Go to your Play Store or App Store and download the Therap App.
The App looks like this...




At some point it will ask you if it can access your location...you must say yes.  This only checks their GPS when the App is open.  There is no GPS tracking between clock-in and clock out or when the app is off.

Once you download and open it...it will look like this...






To run through a fake scenario...put in the following info (this is not a real login)




Once you put in the fake log in the screen will look like this...


Click on Scheduling/EVV and the screen will look like this...
(There may be a bunch of Abigails or Alexanders listed here...that means other people are playing with the fake log in today)


Select Self Check-in at the bottom of the screen and it will bring you to this screen...


Select "Individual"...for this fake login the Clients names are Abigail and Alexander.  Choose either one .  (So in a real scenario this is where the Employee would select the Client (your child's) name.)  



After you select a client name, then it will bring you back to this screen, but now it has the client's name selected.



Now select Program and it will bring you to a screen like this...



You will choose Leonard Consulting and it will bring you back to this screen.  But now Leonard can be seen on the screen.



Now select Service and it will bring you to a screen like this...



In this fake example these are not the Utah Service Codes.  But in a real scenario this is where the employee would select the service code they are using.  Such as SL1, RP1, etc...  The numbers in brackets are how many hours per day and per week have been used for this billing code.  It does not tell you how many you have left...only how many have been used.  It will be the totals for all of your employees...not just the one logging in.  It really won't help us as employers, because we don't have a login.  
So to continue with our fake example, select one of the service codes and it will bring you back to this screen.



Select next and it brings you to a map and address listed at the top of where it is geo-tagging the person.  It is OK if the address is off by a bit...it really doesn't matter.  You do not need to try and correct it.  The only reason a person would make a comment is if they forgot to clock in.  Then they would say something like "I started working at 4:00 PM, but forgot to clock in".  Once again...only make a comment if you made a mistake and forgot to clock in.




Select the check mark and it will bring up this screen saying Check-in has been successful.




Click OK and it brings up this screen.  When the person is still clocked in the vertical bar between the time and the client's name will be yellow.  Once they clock out the bar turns green.





To clock out swipe left on the clients name and select check out.


It will being up the map and address again to geotag the person.  The same rules apply...don't worry if it says a different address, it is fine.  And they only make a comment if they forget to clock out.





It brings up 1 last screen showing that check-out has been successful

For the real log- in all of the clients names, service codes, employee names etc have already been input into the app.  

For the real log-in for your employees, use this...  

Their login will be all lowercase and no spaces:  firstnamelastname
Their initial password will be: 1234
Their provider code will be all uppercase and no spaces:  LCLLC-UT

It will have them choose a new password.

If the employee forgets to clock in or clock out...have the employee do it as soon as they remember and have them make a comment when it geotags them.  There is an 8 hour window to clock-in and clock-out.  If it is longer than 8 hours that they forgot to clock-in or clock-out you will need to contact Leonard.

When the employee checks in the app automatically puts the logout time as 1 hour later....ignore this.  When the employee actually log out it will put the real log out time.

If your client, program or service is not showing up on the app,  contact Leonard.

Yes, employees can accurately do an overnight shift on the app.  No need to clock out at midnight.  Just have employees clock-in and clock-out at the beginning and end of the shift.

If shifts are longer than 24 hours...Employees will need to check in and out more than once.  Employees can start a new shift before an overnight shift.  AKA:  the app can only handle 18 hours at a time.  So for overnight shifts the employee should plan to log out and back in again when they go to bed and log out and back in again when they wake up.  or whatever other schedule works for them as long as you checkout and back in again before 18 hours is up.

Employees can work multiple shifts in 1 day.  The employee will just clock in and out each time they work.

If employees do RP7 (watching more than 1 child at a time) they will need to do separate check-ins for each client.

If the employee is switching service codes while working the same shift (ie:   they do respite for part of the shift and homemaking for part of the shift) they will have to check out of 1 code and check in to the other code.

I said that sometimes I have my employee meet me at a different location other than my house to do a shift, they said that is fine.  (They don't care)

I asked what if the shift starts and ends at 2 different locations.  They said that was fine.  (They don't care).

Normally an employee will just do the app on their own smart phone.  But if they do not have a smart phone they can use your smart phone, or an ipad or tablet or even your computer.

Employees will have 10 chances to get their password correct.

One thing you will want to do is have the employee set up a password recovery.  This is so if they forget their password they can reset it themselves through their email address.  This needs to be set up on the computer (not phone or tablet).  You can set up password recovery after they have made their own log in and password on the app.

Click "Secure log-in" in the upper right hand corner
Have the employee log-in (they need to already have this set up on their phone)
Scroll down and click "Dashboard"
Select "Settings"
Click "self-password"
To the right of where it says Self-password (in the middle of the screen) you will click "Configure"

If your phone's GPS locating drops, you may be prompted to go back to the place you started your checkin/checkout.  Do not worry about changing location in any way.  This has to do with the phone's GPS and not you.  Just repeat the steps you were on again.

Paper timesheets and the app times do not have to match exactly, but glaring difference could result in non-payment.  Do not worry if they are a few minutes different from each other.

SNAP Programs/ LDS/ Special Needs Mutual/ Church of Jesus Christ of Latter-Day Saints

Here are the SNAP Programs I know of.  SNAP stands for Special Needs Activity Programs.  These are the Young Women and Young Men/Scout programs for youth with disabilities in the Church of Jesus Christ of Latter-Day Saints. As specified in the church handbook, SNAP Programs do not substitute for ward Young Women and Young Men programs, they supplement them.

Often SNAP programs allow individuals to continue attending even after they would normally age out of typical Young Men and Young Women Programs.  (ie: in my local SNAP Program there are lots of 60 + year olds that attend weekly).

Also at the bottom there are listings for special needs institute classes.  (Please let me know if you know of additional offerings).

Organizing Special Classes, Programs, or Units


Members who have disabilities and special needs are encouraged to attend Sunday meetings in their home wards unless they live in a care facility where Church programs are organized.
When members who have similar disabilities live in a ward, group of wards, stake, or group of stakes, leaders may organize special activity programs or Primary classes for them. Leaders may also organize special Sunday School classes or other classes. These classes or programs supplement a person’s home ward program.
To organize a special class or program on a multistake level, approval is required from the Area Presidency. These leaders appoint an agent stake president to oversee the initial organization and the continuing operation of a class or program for a specified time.
To organize a special class or program on a multiward level, the stake presidency’s approval is required. The stake president assigns an agent bishop to oversee the initial organization and the continuing operation of a class or program for a specified time.
The agent stake president or bishop consults with other participating stake presidents or bishops to establish a policy for financial support for these classes or programs. Parents or caregivers are responsible for transportation.
If a multistake class or program is organized, the president of each participating stake may appoint a high councilor to help coordinate efforts to enroll members who want to participate, provide leaders and teachers, and administer the financial policy established by the agent stake president.
Members who serve in a special class or program are called and set apart by or under the direction of the agent stake president or bishop. These leaders follow normal Church procedures for extending callings and releases. Leaders and teachers of a special class or program share information about members’ activities and accomplishments with leaders of home wards, where permanent records are kept and recognition can be given.
As invited by the agent stake president or bishop, leaders of a special class or program may attend stake or ward leadership meetings. They may also conduct their own meetings to plan the activities of the class or program.
Leaders may contact Seminaries and Institutes of Religion administrators to learn about classes for members with disabilities that can be established within the Church Educational System.
Wards or branches may be created for members who are deaf or hearing impaired. Or a ward may be asked to host a group for those who are deaf or hearing impaired within a specified geographic area. Such wards, branches, or groups help these members participate fully in service and gospel learning. Instructions for organizing these units are provided in Handbook 1, 9.1.4 and 9.1.10.
Members who use sign language, and their families, may choose to have their Church membership records in one of the following places: (1) their home ward, (2) a ward that is designated to host a group for members who are deaf or hearing impaired, or (3) a ward or branch that is organized for members who are deaf or hearing impaired.

Recycling/Reusing Empty Pill Bottles


Here is an organization that you can donate your used pill bottles to.  They are sent to Africa so Dr.'s can distribute medications to patients.  Without the donated pill bottles, patients are sent home with pills wrapped in a piece of paper.

Matthew 25 Ministries is the name of the organization that collects them.  You can find their website here.

Acceptable Pill bottles include the following:

  • Prescription or over-the-counter.


Pill Bottles need to be prepared in the following way or they are thrown away:


  • Labels removed, leaving no residue or glue.  (Personally for me...if the label comes off easily, then I save the bottle, if it leaves residue behind I do not save the bottle).
  • Sorted by color and type.
  • Washed in soap and very hot water
  • Rinsed and dried thoroughly
  • Must have an all plastic lid, lids must be attached to the bottle (do not put lids on before bottle is completely dried)
  • Placed in ziploc and labeled "Clean Bottles"

How to pay for a ceiling lift (In Utah)

So your non-mobile child is getting heavier and your back is taking a toll.  It may be time for a ceiling lift.  A ceiling lift involves a track with a sling hanging from it.  Once the person is positioned in the sling the person can be moved along the track from room to room.

To find a business that installs these just google "Ceiling lift Utah" and you will get some options.  These are usually installed by elevator companies, stair lift companies and sometimes wheelchair van companies.


There are free-standing lifts (not attached to the ceiling) such as Hoyer or Liko, but they usually cannot get the person into the bathtub (the feet of the lift hit the bathtub) and they take up quite a bit of floor space.  There are some free-standing (floor lifts) that can get a person into a bathtub...so make sure to ask for that kind if you are choosing a free-standing lift.

One bad part of ceiling lifts is that they typically have to split the door frame above the door in order to maneuver the person from room to room.  It works, but it looks a little weird.

 Here are some options to pay for a ceiling lift (in Utah)

DSPD 
DSPD will pay for home modifications such as bathroom remodel, ramp or lift into the home, ceiling lift, ramp or lift and tie downs for a vehicle.  Ask your Caseworker.  They can apply for one-time funding.  It does take some time to get approved and there are a few hoops, but it will be paid for 100%.

Independent Living Centers
They pay for anything to help the person live independently or stay at home instead of being in a facility.  Each State is required to have Independent Living Centers (they may be called different names).  In Utah each county has one (some serve more than 1 county).  So go to the link and find your county.

United Healthcare
You do not need to have United Healthcare for your health insurance, but you do need to have health insurance.  They pay for medical expenses not covered, or not fully covered by commercial insurance.  You can get $5,000 annually per child and $10,000 per lifetime per child

Assistive Technology Foundation (Zions Bank Low Interest Loan)
You turn in the application and they help you get a low interest loan through Zion's Bank.  The loan will be 1/2 of prime and the Foundation pays the rest of the interest on the loan.  For loans over 10,000 you can usually get a 5 year term.  It takes about a week for the loan to go through once all of the paperwork has been submitted.  Once the application is complete it is good for 90 days.  You can use the loan more than once over a lifetime.

Things to think about when considering options for a lift...
#1) Which rooms of your home does the person want to get to?  ie:  bed, wheelchair, tub, couch
#2)  Does the lift need to lower all the way to the floor (some don't, some do)
#3) Does the lift need to get the person into the tub (most free-standing lifts cannot do this)
#4)  Will the lift fit through your doorways?  (Most free-standing lifts won't fit)
#5) What is the weight limit on the lift?
#6) Is there an emergency power source in case of power outage?
#7)  Would hydrolic (electric) or manual work best for your situation?
#8)  Am I allowed to make changes to the home (do I rent or own, will I be here long-term?)
#9)  Am I OK if the ceiling lift cuts through the door header?

This is a portable lift that is an alternative to a ceiling lift and a freestanding lift.  It can only get the person from the bed to the wheelchair and back.

Since the bathtub is the trickiest area to get a lift to work, here are a couple of other bathing/lift options for you

For all of the bathing situations below the caregiver would not need to bend over to put the person into the tub.

Most of them would not work if your child has no torso/head control.

How do you take care of yourself? I think I am a physical touch...I love baths and soft blankets! Which is so weird...because as far as giving/receiving love from others...physical touch is at the VERY VERY bottom for me.

How to deal with Stress/Anxiety when you have a child with disabilities

Here are some ways to deal with anxiety/stress ...  At the bottom is a link to a 1 page document you can print with them listed.


Anxiety Plan
1. Notice physical symptoms
2. Acknowledge that this a anxiety attack (see the rock in the field, anxiety is only 1 rock)
3. Tell yourself...
A. This is the body’s normal physical response to fear
B.  Endorphins are released to protect you. They make fight or flight or freeze.
C. Tell yourself...“It will be OK. This will end soon and I will be fine again.”
D. Recognize that all anxiety attacks will end
4. Do the routines below


5-4-3-2-1
  • List 5 things you SEE
  • 4 things you TOUCH
  • 3 things you HEAR
  • 2 things you SMELL
  • 1 thing you TASTE
Grounding Questions
  • Answer the following questions:  Where am I? What is today? What is the date?  What is the month? What is the year? How old am I? What season is it?
Happy place (most relaxing place you can think of)
  • Picture yourself there.  Focus on as many details as possible.  What do you see? Hear? Smell? Taste? Feel?
Focus object
  • Focus all attention on 1 object.  Consciously note everything about it possible

Distract yourself
  • Distract with strong sensory experiences (Cold water, ice, strong taste, loud sound, silly putty)
  • Call a friend, organize something, play a game, read a book

Relax your muscles
  • Find a comfortable place to sit or lie down
  • Close your eyes and focus only on your toes.  Tighten them for a count of 5, then relax
  • Next focus on your feet.  Tighten all muscles in your
feet for a count of 5, then relax
  • Continue up your body all the way up to your face
Deep breathing
  • Put 1 hand on upper chest and 1 hand on diaphragm
(where rib cage meets stomach)
  • Breathe slowly in through nose while counting to 5 in mind.  Hand on chest should stay still, while diaphragm should raise with breath.
  • Breathe out slowly through nose while counting to 5
  • Repeat
Repeating a mantra internally
  • Such as “This too shall pass” or “Life Happens”
  • Identify Problem (can also be general anxiety)
  • Rate intensity of anxiety right now 0-10
  • Create a statement.  Acknowledge problem and follow up with an unconditional affirmation about yourself as a person
    • Even though I am feeling _________, I deeply and completely accept myself.
  • Tap the meridian points about 5-7 times while saying the phrase 3 times at each pointTapping Chart & Tapping Points
  • Take a deep breath after each meridian
  • When done rate anxiety again 0-10
  • If higher than 2, can repeat all meridians again if needed.
